Job description :
- General Administrative Support (a. Documentation: Drafting, typing, and archiving official letters, reports, and memos, b. Filing & Data Entry: Maintaining physical and digital filing systems and updating databases with personnel or financial records, and c. Correspondence: Managing incoming and outgoing emails, phone calls, and postal mail)
- Office & Facility Management (a. Supply Procurement: Monitoring inventory and ordering office stationery, equipment, and consumables, b. Maintenance: Coordinating with vendors for the repair and recurring maintenance of office equipment, c. Front Desk: Greeting visitors, directing inquiries to appropriate personnel, and maintaining a professional reception area)
- Scheduling & Coordination (a. Calendar Management: Organizing and scheduling meetings, appointments, and room bookings, b. Travel Arrangements: Coordinating business trips, including booking flights and accommodation for staff and executives, c. Event Planning: Assisting in organizing office events, team-building activities)
- Basic Financial & HR Support (a. Bookkeeping: Handling basic financial tasks such as petty cash, processing invoices, tracking expenses, and assisting with payroll, b. HR Assistance: Supporting the onboarding process for new hires, including equipment setup and orientation activities, anc c. Compliance: Ensuring the office adheres to workplace safety standards and local regulations).
Job Qualification
- Experience working as office administrator.
- SMK office administration or other equivalent education
- Preferably proficient in English (esp written).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software (ERP).
- Proficient in soft skills such as strong time management, multitasking abilities, attention to detail, and professional interpersonal communication.
